This Privacy Policy applies to information collected through the website. 2. Website Intended for Parents and Guardians

Our website is intended for adults, including parents, legal guardians, and other persons seeking information about child care services.

The website is not directed to children under 13, and children under 13 are not permitted to submit forms, messages, personal information, photographs, recordings, or other content through the website.

Parents and guardians should supervise children who visit the website. If we learn that a child under 13 submitted personal information directly to us without appropriate parental involvement, we will take reasonable steps to delete the information, except when retention is required to protect the child, comply with law, document an incident, or respond to a government authority.

3. Information We May Collect

A. Information provided voluntarily

When a parent, guardian, or other adult contacts us, we may collect:

  • Name.
  • Email address.
  • Telephone number.
  • Preferred method of contact.
  • General information about the requested child care services.
  • A child’s first name, age, or anticipated start date when voluntarily provided by the parent or guardian.
  • Tour or enrollment inquiry information.
  • Messages, questions, comments, and communications sent to us.
  • Information necessary to respond to a request or determine general program availability.

B. Child enrollment information

If a family begins the enrollment process, we may separately request information such as:

  • Child and parent or guardian identification information.
  • Authorized pickup persons.
  • Emergency contacts.
  • Allergies, medical conditions, medication instructions, dietary restrictions, and other health-related information.
  • Immunization and health examination records.
  • Custody restrictions or court orders.
  • Attendance and authorized transportation information.
  • Other records required by applicable child care licensing laws or reasonably necessary for the child’s safety and care.

Whenever possible, sensitive enrollment, medical, custody, financial, and identification records should be provided through an approved enrollment process or directly to Harmony House Child Care rather than through the general website contact form.

C. Information collected automatically

When someone visits the website, our systems and service providers may automatically receive limited technical information, including:

  • Internet Protocol address.
  • Browser and device type.
  • Operating system.
  • Date and time of access.
  • Pages viewed.
  • Referring website or link.
  • Approximate general location derived from an IP address.
  • Website performance and diagnostic information.
  • Security, fraud-prevention, and anti-spam signals.
  • Server and application logs.

We use this information primarily to operate, secure, troubleshoot, and improve the website.

4. Sensitive Information That Should Not Be Submitted Through the General Contact Form

Do not submit the following through the website’s general contact form unless we specifically instruct you to do so through an approved process:

  • Social Security numbers.
  • Driver license, passport, or government identification numbers.
  • Payment-card or bank-account information.
  • Passwords or account credentials.
  • Complete medical records.
  • Detailed medical diagnoses.
  • Medication records.
  • Immunization documents.
  • Custody orders or court records.
  • Information concerning abuse, neglect, domestic violence, or immediate threats.
  • Highly sensitive information about a child or family.

The general contact form is not designed as a secure medical, emergency, custody, or incident-reporting system.

5. How We Use Information

We may use information to:

  • Respond to inquiries from parents and guardians.
  • Schedule or confirm tours.
  • Provide information about programs, availability, hours, enrollment, and services.
  • Communicate about an existing or prospective child care relationship.

  • Protect the health, safety, and welfare of children.
  • Verify authorized parents, guardians, emergency contacts, and pickup persons.
  • Maintain attendance, health, emergency, incident, and licensing records.
  • Operate, maintain, secure, and improve the website.
  • Detect spam, fraud, abuse, security incidents, or unauthorized activity.
  • Comply with licensing inspections, court orders, subpoenas, reporting duties, insurance requirements, and applicable laws.
  • Establish, exercise, or defend legal rights.
  • Protect Harmony House Child Care, its personnel, children, families, and other persons from harm.

We will not use information for a materially different purpose without providing appropriate notice or obtaining consent when required.

6. Telephone, Email, and Text Communications

When you provide contact information and ask us to contact you, you authorize Harmony House Child Care to respond using the telephone number, email address, or other contact method you provided.

These communications may concern:

  • Your inquiry.
  • Tour scheduling.
  • Enrollment.
  • Availability.
  • Required documents.
  • Attendance.
  • Child care operations.
  • Emergencies involving an enrolled child.
  • Administrative or account-related matters.

Providing a telephone number does not automatically enroll you in promotional text-message marketing. Marketing messages, if ever used, should require separate consent where required by law.

Standard telephone, text-message, or data charges imposed by your service provider may apply.

7. Cookies and Similar Technologies

The website may use cookies, local storage, server logs, or similar technologies that are necessary to:

  • Maintain basic website functionality.
  • Remember limited user preferences.
  • Protect forms against spam and automated abuse.
  • Detect security threats.
  • Measure general website reliability and performance.

The website may use Cloudflare Turnstile or a similar security service to determine whether a form submission is being made by a person rather than an automated system. Such services may process IP addresses, device characteristics, browser information, and security signals according to their own privacy terms.

Harmony House Child Care does not use the website to sell personal information or intentionally build behavioral advertising profiles about children.

If advertising, advanced analytics, online payments, session-recording tools, or additional tracking technologies are added later, this Privacy Policy and any required cookie notice must be updated before or when those technologies are activated.

8. How We May Share Information

We may disclose information to the following categories of recipients when reasonably necessary:

A. Service providers

We may use companies that provide:

  • Website hosting.
  • Cloud infrastructure.
  • Domain and network services.
  • Email delivery.
  • Form processing.
  • Security and anti-spam protection.
  • Data storage or backup.
  • Technical support.
  • Accounting, insurance, legal, or professional services.

These providers may process information only as necessary to perform services for us or as otherwise permitted by law.

B. Child care operations

Information may be shared with authorized personnel, substitutes, contractors, medical responders, licensing representatives, insurers, or other persons when reasonably necessary for a child’s care, safety, supervision, or emergency response.

Access should be limited to persons with a legitimate operational or legal need.

C. Government and legal disclosures

We may disclose information when reasonably necessary to:

  • Comply with a law, regulation, subpoena, court order, warrant, or licensing requirement.
  • Cooperate with the Florida Department of Children and Families, a local licensing agency, law enforcement, emergency responders, or another authorized government authority.
  • Satisfy mandatory reporting or child-safety obligations.
  • Investigate suspected fraud, abuse, threats, unlawful conduct, or security incidents.
  • Protect the rights, safety, or property of a child, parent, guardian, employee, visitor, Harmony House Child Care, or another person.

D. Business transfers

If Harmony House Child Care is reorganized, transferred, sold, or merged, records may be transferred as part of that transaction, subject to applicable child care licensing requirements, confidentiality obligations, and law.

9. No Sale of Personal Information

Harmony House Child Care does not sell personal information.

We do not sell children’s personal information, medical information, contact information, enrollment information, or website inquiry information.

We do not disclose children’s personal information for third-party behavioral advertising.

Sharing information with a service provider that processes information on our behalf is not treated by us as a sale.

10. Children’s Photographs, Videos, and Media

Harmony House Child Care will not rely solely on acceptance of this Privacy Policy as authorization to publish an identifiable child’s photograph, video, voice recording, name, artwork, testimonial, or likeness.

Any use of identifiable child media for the website, social media, advertising, or promotional materials should be governed by a separate written parent or legal guardian authorization.

Unless expressly authorized in writing:

  • A child’s full name should not be published with a photograph.
  • Sensitive personal information should not appear in captions or media.
  • Photographs should not reveal medical, custody, address, attendance, or schedule information.
  • Identifiable faces should not be publicly displayed.

A parent or legal guardian may contact us to withdraw future media authorization. Withdrawal may not require removal from printed materials already distributed or materials that cannot reasonably be recalled, but we will evaluate reasonable requests to remove online content under our control.

11. Retention of Information

Online inquiries are temporarily stored in a private delivery queue so they can be retried if email delivery fails. After successful delivery, the inquiry content is removed from that queue. Delivery receipts used to prevent duplicate requests are kept for up to seven days. Undelivered inquiries remain available for follow-up and recovery. Email copies and related correspondence are subject to the retention practices described below.

We retain information only for as long as reasonably necessary for the purpose for which it was collected, including to:

  • Respond to inquiries.
  • Maintain an active relationship with a prospective or enrolled family.
  • Satisfy child care licensing and recordkeeping requirements.
  • Maintain medical, incident, attendance, tax, accounting, insurance, and business records.
  • Resolve disputes.
  • Enforce agreements.
  • Comply with legal obligations.
  • Protect children and other individuals.

General inquiries that do not lead to enrollment may be deleted or archived when no longer reasonably necessary.

Enrollment, attendance, emergency, health, incident, payment, and licensing records may be retained for the period required by applicable law, regulation, insurance requirements, or legitimate legal needs.

When retention is no longer necessary, information may be securely deleted, destroyed, anonymized, or deidentified.

12. Information Security

Harmony House Child Care uses reasonable administrative, physical, and technical measures designed to protect personal information.

Depending on the type of information, these measures may include:

  • Access restrictions.
  • Password protection.
  • Secure transmission.
  • Network and form security.
  • Anti-spam and anti-bot protection.
  • Limited personnel access.
  • Secure storage.
  • Backups.
  • Record disposal procedures.
  • Service-provider safeguards.

No website, email system, transmission method, or storage system can be guaranteed to be completely secure. Users should avoid sending highly sensitive information through ordinary email or the general contact form.

If a data-security incident occurs, Harmony House Child Care will investigate and provide notices to affected individuals or government authorities when required by applicable law.

13. Parent and Visitor Privacy Requests

Subject to identity verification, legal restrictions, licensing requirements, and required record-retention periods, a parent, guardian, or website visitor may request that we:

  • Confirm whether we maintain their personal information.
  • Provide access to certain personal information.
  • Correct inaccurate contact information.
  • Delete information that we are not legally or operationally required to retain.
  • Stop nonessential promotional communications.
  • Review information submitted about a child for whom the requester has legal authority.

We may request reasonable proof of identity or parental or guardianship authority before processing a request involving a child.

We may deny or limit a request when necessary to:

  • Protect another person’s privacy or safety.
  • Comply with licensing or legal requirements.
  • Maintain medical, attendance, emergency, incident, payment, insurance, or tax records.
  • Preserve evidence or defend legal claims.
  • Comply with custody restrictions or court orders.
  • Prevent fraud or unauthorized access.

Requests may be submitted to:

Email: [email protected]
Phone: (727) 717-9994
Mail: 7311 San Miguel Dr., Port Richey, FL 34668

Please write “Privacy Request” in the subject line of an email request.

14. Third-Party Websites and Services

The website may contain links to third-party websites or services, including maps, social media platforms, government resources, child care resources, or external service providers.

Harmony House Child Care does not control the privacy, security, accuracy, availability, or content of third-party services. A visitor’s interaction with those services is governed by the third party’s own terms and privacy policy.

15. Do Not Track and Global Privacy Signals

Some browsers offer “Do Not Track” or similar settings. Because there is no single universally accepted technical standard for all such signals, the website may not respond to every browser-based signal.

Where a legally recognized privacy preference signal applies, Harmony House Child Care will evaluate and honor it as required by applicable law.

Regardless of browser settings, Harmony House Child Care does not sell personal information or use children’s personal information for behavioral advertising.

16. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in:

  • Website functionality.
  • Child care operations.
  • Service providers.
  • Data practices.
  • Security practices.
  • Applicable laws or regulations.

The updated policy will be posted on the website with a revised “Last Updated” date. Material changes may also be communicated through an additional notice when appropriate.

Continued use of the website after an updated policy is posted means that the visitor has received notice of the updated policy. Any consent required by law will be obtained separately.
